Project Coordinator

Job Summary

Reporting to and under the direction of the Principal Investigator and working in the School of Kinesiology and Health Studies, the Project Coordinator is responsible for coordinating and managing the administrative, leadership and research activities of the Canadian Disability Participation Project (the CDPP). The Project Coordinator will work within the established objectives and specific aims of the CDPP research program. The incumbent will support project execution through managing budgets, overseeing project finances, facilitating human resource processes, coordinating projects including ethics applications across multiple sites, supporting the advisory and leadership teams, monitoring project milestones, and preparing reports for the granting agency. The Project Coordinator will provide executive and research assistance to the Principal Investigator by preparing meeting agendas, taking meeting notes, organizing and carrying out administrative action items, managing calendars and work plans, managing communications and preparing presentations. The role will include liaising with trainees, researchers and administrators within and across institutions as well as with community partners; ultimately serving as a key team member in steering the partnership forward.

  • Coordinate communication and action plans to facilitate projects and strategic initiatives, as well as maintain good working relationships with community partners and researchers.
  • Serve as main contact for multi-site collaborative research projects led by the PI and refer unusual issues to PI.
  • Provide the PI with organizational support, managing their schedule and e-mail.
  • Liaise with investigators, partners research team members from external universities and organizations.
  • Develop and maintain detailed knowledge of University policies and procedures.
  • Prepare, monitor and administer multi-site project budgets and help determine appropriate budgets for partner organizations, in accordance with granting agency policies.
  • Establish, monitor, and communicate project timelines and milestones.
  • Prepare interim and final research and financial reports for granting agencies.
  • Carry out processes for managing human resource needs of the research team and partners.
  • Develop and update research team terms of reference and orientation and procedural materials.
  • Plan, organize and implement professional development activities for research team members.
  • Assign tasks and assist with supervision of undergraduate summer students as needed.
  • Help identify project activities for graduate students.
  • Coordinate and plan project management team activities and meetings, research team meetings and project advisory committee meetings and events; create agendas and prepare and coordinate supporting documents, and arrange facility bookings, team member travel, accommodation and catering for on-campus, out-of-town and virtual events.
  • Prepare human ethics applications, amendments, renewals and related reports for research projects; Ensure community and partner organizations ethics requirements are met.
  • Manage the Qualtrics data collection system for the lab.
  • Maintain and monitor access to cloud-based research project files.
  • Manage the security of research data and recommend data management strategies to research team.
  • Assist with drafting grant applications to funding agencies, coordinate on-line application completion, and communicate with University Research Services to ensure internal deadlines and documentation requirements are met.
  • Coordinate the team’s granting application strategies. Review granting agency criteria, recommend approaches, assist with writing grant proposals, develop budgets and coordinate trainee, co-applicants and project partner documentation.
  • Contribute content to and assist with maintaining the lab website.
  • Assist with written research reports, scientific publications, and research project presentations.
  • Undertake other duties as required.

Required qualifications

  • Lived experience of disability as a person living with disability and/or as a carer (e.g., parent) or a close support for a person with a disability (e.g., sibling) is considered an asset.
  • 4-year Bachelor’s degree, preferably in Kinesiology, Rehabilitation Science, Disability Studies or Health Promotion.
  • Experience building relationships and working collaboratively with individuals with disabilities.
  • Experience building and maintaining positive relationships with community-based organizations.
  • Experience coordinating multi-site research projects with university and community partners.
  • Experience with University administrative systems for research funding, human ethics, off-campus activity safety, graduate student policies, financial administration and procurement.
  • Familiarity with the Tri-Agency Financial Administration Guide. Completion of TCPS2 Course on Research Ethics (CORE), and OCAP® Training, an asset.
  • Consideration may be given to an equivalent combination of education and experience.

Special skills

  • Commitment to conducting research that respects principles of equity, diversity and inclusion within the research team and the execution of the research projects.
  • Exceptional organizational and planning skills in order to support multi-site, multi-partner research activities within a set budget and timeline.
  • Excellent interpersonal and team working skills are necessary. Incumbent must be able to interact effectively with multiple organizations from across Canada. They must be able to communicate effectively with community members including people with diverse communication needs.
  • Excellent written and oral communication skills with the ability to engage colleagues and collaborators to create a positive project environment.
  • Problem-solving skills. Incumbent should be able to assess and solve unexpected problems as they arise, referring complex problems to the PI and co-PIs.
  • Computer and office skills, including word processing and PowerPoint (slide preparation), excel spreadsheet, Adobe Pro, Qualtrics management are required to aid in the research, analysis and presentation of data.
  • Ability to create accessible materials compatible with accessibility aids (e.g., screen readers)

Decision making

  • Determine the best course of action taking into account and being sensitive to principles of equity, diversity and inclusion.
  • Prioritize work to meet objectives and adhere to deadlines.
  • Determine when amendments to ethics approvals are required.
  • Coordinate with project leadership and team members from multiple organizations to meet project milestones.
  • Recommend approaches to resolve project staffing, budgetary and project implementation issues.
  • Recommend areas of potential research to research teams and students.
  • Recommend team project policies and working group strategies.
  • Determine what information to distribute to project partners and governing bodies.
  • Determine eligibility of expenses in accordance with University and granting agency policies.
